Make an index before sending files
Ask the lender for its current document checklist and verified upload channel. Organize materials by purpose, such as business plan, project costs, ownership information and financial records. Keep an index showing the requested item, responsible person, version date and submission status.
Do not gather sensitive documents in a public folder or send them through a magazine’s contact form. Financial applications can involve identity and tax information that belongs only in an appropriate, verified process.
Control versions and access
Name files clearly and retain dated versions of estimates and proposed agreements. If an assumption changes, identify which related documents need updating. A lender reviewing an old site budget alongside a new financing request may receive an inconsistent picture of the project.
Give access only to the people who need it, using the controls offered by the verified provider. Ask how materials are stored, how long they are retained and whom to contact about a mistaken submission. Do not disclose account credentials or access codes as part of a document request.
Close the loop on questions
Track follow-up requests rather than relying on an email thread as the entire record. Record who requested an item and whether it changes a financing condition. SBA’s preparation checklist emphasizes a business plan, use of funds and financial projections; organization helps you explain these coherently without confusing preparation with approval.
Put it on paper
- Use the lender’s verified secure channel.
- Maintain a dated index and consistent assumptions.
- Track questions and limit access to sensitive records.
