Confirm the permitted system

Ask the franchisor which technology is mandatory and whether alternatives require approval. Identify the payment, scheduling, inventory or reporting functions the proposed operation needs. A system that demonstrates an attractive feature may still leave an essential workflow unsupported.

Map an ordinary transaction and an exception, such as a refund, outage or corrected order. Ask who supports each connected component and whether a problem moves between providers.

Compare the continuing arrangement

List hardware, setup, subscriptions, processing-related charges, integrations, support and replacement costs as applicable. Request written terms, including renewal, cancellation and any limits on data export. Do not compare monthly prices without examining the underlying scope.

Ask a qualified technology professional about security, access and recovery. Understand which records the business controls and what happens during a transfer or provider change. A claim of integration should identify the actual systems and supported process.

Test before depending on it

Use an approved demonstration or trial with synthetic information where available. Record unresolved workflow questions and obtain written answers. This guide does not certify a provider’s security or suitability. Its purpose is to make the practical operating and contractual questions visible before the business depends on the system.

Put it on paper

  • Confirm franchisor requirements and approval.
  • Map normal and exception workflows.
  • Review total costs, support and data export.
