Describe the workforce accurately
Explain the proposed locations, roles, pay arrangements and scheduling needs to qualified advisers. Ask what information the provider requires and how changes are submitted. Do not assume that a generic small-business package covers every circumstance of the operation.
Consult appropriate employment and tax professionals about the actual requirements. A software demonstration is not a legal determination about worker classification, pay or recordkeeping.
Identify who does each task
Map onboarding, time records, approvals, corrections, payments, filings and year-end documents as applicable. Ask which work the provider performs, which decisions remain with the owner and how missed deadlines are handled. A responsibility described as shared needs a clear handoff.
Review service charges, additional fees, account access and support. Ask what happens if a payment is wrong or a provider relationship ends. Sensitive employee information should move through a verified secure process with appropriate access controls.
Build an exception process
Assign a person to review outputs and report changes promptly. Keep a verified support route and a record of unresolved questions. This procurement guide does not endorse a provider or determine compliance. Its practical aim is a process in which responsibilities remain visible when the routine payroll run needs correction.
Put it on paper
- Map provider and employer responsibilities.
- Review corrections, deadlines and additional charges.
- Protect employee information and maintain oversight.
