Ask before sharing

An event badge scan or form may provide your contact details to an exhibitor, organizer or service provider. Read the explanation and ask who receives the information and for what purpose. Do not assume that handing over a business card means the same thing as agreeing to every future marketing use.

Use the organizer’s current privacy information and available preferences. This guide does not make a legal determination about a particular event’s practices. Requirements depend on the context and applicable rules.

Keep research and applications separate

A general expression of interest is different from a financing application or a request to share detailed financial records. Verify the recipient and secure destination before providing sensitive material. Never disclose credentials or access codes to make an introduction easier.

If a conversation involves referral to another company, ask whether your details will be passed on and what that company will do with them. A clear choice helps keep the next stage of research intentional.

Organize the follow-up you want

Record which organizations you asked to contact you and use the available unsubscribe or preference tools when appropriate. Preserve useful research correspondence without keeping unnecessary personal information about other attendees. The practical goal is to remain reachable for chosen conversations while understanding where your details are going.

Put it on paper

  • Read the data-sharing explanation before a scan.
  • Verify separate application and referral processes.
  • Keep a record of the follow-up you requested.
